How Sypho vets crews before they work in your home

Letting decorators into your property is a personal decision. Sypho does not list open directories of unverified tradespeople. Every crew on the platform goes through a structured application and admin review before they can be assigned to customer bookings.

Why vetting matters for homeowners

A painter or plasterer sees your rooms, handles access, and works around your belongings. You need confidence that the people arriving are who they say they are, legally entitled to work in the UK, and covered if something goes wrong on site.

Traditional hiring often relies on word of mouth or a quick glance at a business card. Sypho replaces that informal check with documented requirements collected at application and reviewed before a crew is approved.

Vetting does not remove the need for sensible home security, but it gives you a consistent baseline before anyone is dispatched to your address.

How crews join the platform

Crews apply through the Sypho recruit page. They declare their business type, contact details, operating area, and the trades they offer, such as painting and decorating or plastering.

They provide business identity information, including their trading name and base postcode, so Sypho can match them to projects in the right geography.

Applications are not live on the customer site immediately. Each submission enters an admin vetting queue with a pending status until it is reviewed.

Documents and checks required before approval

Step one of the recruit flow focuses on compliance. Several items are mandatory before an applicant can continue, and admin reviewers check them before approving a crew.

Public liability insurance

Applicants must declare their insurance level and upload a current certificate. Accepted levels are one million, two million, or five million pounds public liability cover.

Every crew must hold public liability insurance of at least £1M, with many crews covered up to £5M. Insurance documents are required before approval, not optional extras.

Right to work in the United Kingdom

Every operative must prove they are legally allowed to work in the UK. UK and Irish citizens upload a qualifying identity document through the application.

Applicants who are not UK or Irish citizens provide a Home Office right to work share code together with their date of birth, in line with standard UK employer checks.

Share codes must be work specific codes starting with W. Codes issued for other purposes, such as right to rent checks, cannot be used for this step.

Profile photo and identity

A profile photo is required as part of the application. This supports identity verification before a crew member is assigned to a customer property.

Customers can see who is coming through the platform rather than relying only on a first name given over the phone.

UK mobile contact number

A valid UK mobile number is required so operations can reach the crew on site day, and so automated job notifications reach the right person.

Optional documents that strengthen an application

Some items are encouraged even when they are not strictly required to submit the form.

  • Enhanced DBS certificate upload. Not required for approval, but crews with a verified DBS certificate may be highlighted to customers.
  • Portfolio photos of previous work, up to six images, to demonstrate quality and finish standards.
  • Trade certifications selected from a standard list, such as NVQ qualifications in painting and decorating.
  • Equipment declarations so dispatch knows what tools and access equipment the crew can bring.

Admin review and approval

After an applicant completes the recruit steps, Sypho operations reviews the submission in an admin vetting workflow. Crew records carry a vetting status such as pending, under review, approved, or rejected.

Only crews that pass this review are eligible for assignment to paid customer bookings. Applicants who do not meet the compliance bar are not added to the dispatch pool.

Approved crews sign a subcontractor agreement with Sypho before taking on platform work. This sets out operational expectations, payment mechanics, and conduct on customer properties.

What happens before a crew reaches your home

Assignment is performed by Sypho operations based on availability, skills, and your area. The crew must accept the job on the crew portal before it is fully confirmed.

You may be asked to upload reference photos of your rooms after booking so the assigned team can review scope before arrival.

For scheduled painting projects, a pre-work site visit may be arranged through the platform when it is required, separate from the online quote.

Ongoing accountability after approval

Vetting is not only a one off gate at signup. Crew attendance, hours on site, and completion steps are logged in the platform for operational oversight.

Customers can rate completed bookings and leave comments. This feedback is stored against the job for quality review.

If a serious compliance or conduct issue arises, Sypho can restrict or remove a crew from future assignments. The goal is to keep standards consistent across every booking, not only the first one.

What vetting does and does not guarantee

Vetting confirms documented insurance, right to work, identity, and operational fit for the Sypho model. It does not replace your own judgement about access times, pets, parking, or delicate furnishings.

Sypho does not claim every crew holds every optional certification. DBS checks are encouraged but not mandatory for approval. Where that matters to you, ask before work begins or note it when you book.
